Challenge
An ophthalmology center handled all of its patient scheduling by hand, over the phone and WhatsApp. Staff spent hours every day answering the same questions, juggling availability across multiple doctors and exam rooms, and appointments slipped away whenever the front desk was closed. The clinic wanted to serve patients on the channel they already use — WhatsApp — 24 hours a day, without giving up the control, safety, and compliance that a healthcare operation demands.
Solution
candido.ai designed and built an AI scheduling agent that lives on WhatsApp Business. The agent understands natural language, checks real availability across professionals and rooms, and books, reschedules, and cancels appointments end to end. Every action the AI can take is a governed "tool" — the model never touches the database directly — wrapped in five layers of guardrails: rate limiting, declarative business rules, timeouts, and full auditing of every step. Non-technical staff configure the agent's behavior in plain Portuguese, preview the change, and publish it with versioning and one-click rollback. When a conversation genuinely needs a person, it hands off cleanly to the team. Managers get a real-time dashboard of conversations, bookings, AI costs, and metrics — multi-tenant from day one.
Outcome
The clinic turned WhatsApp into an always-on booking channel that works nights and weekends, freeing the front desk from repetitive scheduling and recovering appointments that used to be lost after hours. Because every AI action is audited and deterministic, the team trusts the agent inside a regulated healthcare setting. The whole architecture — providers, tools, and guardrails — was validated against a battery of adversarial scenarios, from prompt injection to invalid data and out of scope medical requests, and now serves as a reusable foundation the practice can extend to new locations and services.
